Booking Terms & Conditions

Welcome to Sunbird Lanka Tours, a proud Sri Lankan travel company dedicated to crafting unforgettable journeys across the island. These Booking Terms & Conditions outline the responsibilities of both Sunbird Tours and our valued guests. By confirming a booking, you agree to the following terms, ensuring a smooth and enjoyable travel experience.

1. Confirmation of Booking

Your booking is confirmed once we issue a written confirmation and invoice, following the receipt of a 50% advance payment. The remaining balance is due 7 days prior to arrival.
Please double-check the confirmation details and inform us immediately of any discrepancies, especially name spellings matching your passport.
Accepted Payment Methods:
  • International Bank Transfers (bank charges to be borne by the client)
  • Credit/Debit Cards (Visa, MasterCard, AMEX – additional 3.5% transaction fee may apply)
  • PayPal (upon request)
  • Cash payments can be made locally for on-the-spot bookings or add-ons
Note:
  • All payments must be net of bank charges.
  • No hidden fees: our prices are transparent and inclusive.
  • Exchange rates are pegged to the Central Bank of Sri Lanka at the time of booking
Currency:
All prices and payments are quoted in US Dollars (USD) unless otherwise specified. Payments in Sri Lankan Rupees (LKR) can be arranged based on the daily exchange rate.

2. Cancellations

a) Cancellation by Sunbird Lanka Tours

In rare cases, we may cancel a tour due to force majeure (see below). You will receive a full refund or a comparable alternative offer. We are not responsible for external costs (e.g., flights) affected by such cancellation.

b) Cancellation by You Cancellation requests must be sent via email to your Tour Consultant and will incur the following charges:

Special cases (e.g., early check-outs, no-shows) are assessed individually.
COVID-19 & Emergencies:
We offer 100% refund if cancellation is due to pandemic-related restrictions within 21 days of arrival.

3. Travel Safety & Force Majeure

We prioritize your safety. In case of political unrest, natural disasters, or travel bans, we ensure:

  • 90% refund (30+ days before travel)
  • All recoverable costs refunded (within 30 days or during travel)

4. Changes to Itinerary

a) By Sunbird Lanka Tours

We aim to stick to your original itinerary. However, in unavoidable situations (e.g., hotel overbooking), changes will be discussed and fairly adjusted, including refunds for downgraded services or coverage of transfer costs.

b) By You
We offer flexible itinerary adjustments even after confirmation. Additional charges may apply, and we’ll inform you of any pricing differences in advance.

5. Special Requests

Have dietary needs, room preferences, or mobility requirements? Let us know during booking and reconfirm via email. While we strive to fulfill every request, we cannot guarantee them unless explicitly confirmed in writing.

6. Travel Insurance

Comprehensive travel insurance is mandatory for all travelers. You must disclose pre-existing conditions, pregnancy beyond 24 weeks, or age 70+ to ensure tour suitability.

7. Medical & Age Considerations

You are responsible for confirming medical readiness for the tour. Please consult your doctor and notify us of any limitations or medical conditions before booking.

8. Independent Travel & External Bookings

If your itinerary is only partially booked through Sunbird Tours, we are not responsible for third-party services such as flights, rail tickets, or hotels booked independently.

9. Complaints & Customer Care

Our team is committed to ensuring your trip runs smoothly. If issues arise:
  • Address them with the relevant service provider immediately.
  • Escalate unresolved matters via email to Sunbird Tours within 24 hours.
Failure to report issues promptly may affect eligibility for compensation.

10. Accommodation & Hotel Changes

Once hotel selections are finalized, changes are only permitted in unavoidable circumstances and subject to availability and additional cost.

Please research selected accommodations beforehand. If a client insists on changes, any additional cost will be borne by the client.

11. Shopping Disclaimer

We do not endorse or guarantee purchases made during the tour (e.g., jewelry, crafts, etc.). All purchases are at your discretion and risk.

12. Pricing Guarantee

Your package price will not be affected by currency fluctuations. Only government-imposed changes may affect final costs.

13. Required Travel Documents

Guests are responsible for ensuring all personal travel documents (passport, visa, insurance, vaccination, etc.) are valid and in order before travel.

14. Legal Responsibility

Sunbird Lanka Tours assumes liability only in cases of proven negligence for services we directly manage. Clients are encouraged to maintain personal safety and take reasonable precautions throughout the trip.

15. Disclaimer of Information

While we strive for accuracy, travel content may rely on sources such as SLTDA, Wikipedia, Lonely Planet, TripAdvisor, and hotel websites. Temporary changes (e.g., renovations, weather) may impact experiences, and we are not liable for third-party inaccuracies.
